Welcome to the National Institute of Hypnotherapy. Our goal is to provide a professional, safe, supportive, and confidential therapeutic experience for every client.
By booking an appointment, purchasing a program, or participating in services provided by the National Institute of Hypnotherapy, you acknowledge that you have read, understood, and agree to the following Terms & Conditions.
Booking & Payment
Payment is required at the time of booking unless otherwise arranged.
Appointments are not considered confirmed until payment has been received.
Program packages provide payment plan options.
Cancellation & Rescheduling
Appointments may be cancelled or rescheduled with a minimum of 24 hours' notice.
Appointments cancelled with less than 24 hours' notice, or missed without notice, may be charged the full session fee.
Clients arriving late will receive the remaining scheduled session time. Sessions cannot be extended beyond their scheduled end time.
Program Packages
Package sessions are intended to be completed within four (4) months of the initial appointment unless otherwise agreed in writing.
Unused sessions are non-transferable and are not redeemable for cash unless otherwise agreed upon.
Refund requests for unused sessions will be considered on a case-by-case basis. Any sessions already completed will be charged at the current individual session rate, with any remaining balance refunded at the sole discretion of the National Institute of Hypnotherapy.
Virtual Sessions
Clients are responsible for ensuring they have:
- A reliable internet connection.
- A quiet, private environment free from interruptions.
- A device equipped with a working camera and microphone.
For safety reasons, hypnosis sessions must never be attended while driving, operating machinery, or engaging in activities requiring your full attention.
Technology Interruptions
If technical difficulties interrupt a virtual session, every reasonable effort will be made to reconnect immediately.
Should technical issues prevent the session from continuing, the remaining appointment time will be rescheduled at no additional cost.
Scope of Services
Hypnotherapy is intended to support personal growth, behavioural change, emotional well-being, stress management, performance enhancement, habit change, and personal development.
Hypnotherapy is not a substitute for medical, psychological, psychiatric, or other regulated healthcare services. Clients should continue any treatment recommended by their physician or other healthcare providers.
Although many clients experience significant positive results, no guarantees regarding outcomes can be made. Success depends upon many factors, including client participation, motivation, readiness for change, and the nature of the presenting concern.
Informed Consent to Hypnosis
Hypnosis is a natural state of focused attention and relaxation.
Throughout hypnosis:
You remain aware of your surroundings.
You remain in control of your thoughts, choices, and actions.
You cannot be made to do anything against your values or wishes.
You may end the hypnotic process at any time.
Individual experiences vary from person to person.
By participating in hypnosis, you acknowledge that you understand the process and voluntarily consent to treatment.
Client Responsibilities
Successful therapy requires active participation.
Clients agree to:
- Attend scheduled appointments.
- Participate honestly during sessions.
- Complete recommended exercises or recordings when appropriate.
- Inform the practitioner of any significant changes in their health or circumstances.
- Ask questions whenever clarification is needed.
Health Information
Clients agree to provide accurate and complete information regarding their physical health, mental health, medications, diagnoses, and any changes that may affect treatment.
If your health status changes during treatment, you agree to inform your practitioner before your next appointment.
Confidentiality
Your privacy is of the utmost importance. All personal and health information is maintained in accordance with applicable privacy legislation and professional ethical standards.
Information will only be disclosed:
- With your written consent
- When required by law
- Where there is a risk of serious harm to yourself or another individual
- As otherwise required or permitted by applicable legislation
Clinical Documentation & Session Recordings
Clinical notes are maintained for every client in accordance with professional standards.
With your consent, portions of sessions may be audio recorded for purposes including:
- Creating accurate clinical documentation
- Producing personalized hypnosis recordings
- Supporting continuity of care
- Recordings are securely stored, used only for their intended purpose, and deleted when no longer required in accordance with applicable record-retention policies.
Clients may decline audio recording at any time.
Clients may not audio or video record sessions without the prior consent of the practitioner.
Any hypnosis recordings provided remain the intellectual property of the National Institute of Hypnotherapy and are licensed for the client's personal use only.
They may not be copied, reproduced, distributed, uploaded, shared, sold, or used commercially without written permission.
Communication Between Sessions
Some treatment programs include reasonable email or messaging support between appointments.
This communication is intended for brief questions, encouragement, or clarification and is not intended to replace scheduled appointments or provide crisis intervention.
Response times will vary based on practitioner availability.
Electronic Communication
By becoming a client, you consent to receive electronic communications relating to your care, including:
- Appointment confirmations
- Appointment reminders
- Receipts and invoices
- Treatment-related information
- Educational resources
- Personalized hypnosis recordings
- Administrative updates
Reasonable measures are taken to protect electronic communications; however, complete security cannot be guaranteed.
Marketing communications may be unsubscribed from at any time. Appointment and treatment-related communications will continue as required.
Insurance & Tax Receipts
The National Institute of Hypnotherapy is currently unable to provide receipts that qualify for reimbursement through most extended health insurance plans.
Upon request, clients will receive a detailed paid receipt for services rendered.
Depending upon your individual circumstances and current Canada Revenue Agency (CRA) guidelines, these receipts may be useful for income tax purposes. Clients are encouraged to consult their accountant or tax professional regarding eligibility.
The National Institute of Hypnotherapy does not provide tax advice or guarantee tax deductibility.
Smoking Freedom Program
Clients enrolled in the Smoking Freedom Program understand that lasting success depends upon their commitment to the process.
The program combines hypnosis, coaching, education, accountability, and individualized strategies designed to support permanent freedom from smoking.
While every effort is made to provide exceptional care and support, specific outcomes cannot be guaranteed.
Clients Under 18 Years of Age
Clients under the age of 18 require written consent from a parent or legal guardian before services can begin.
Depending on the client's age and treatment plan, a parent or guardian may be required to participate in portions of the intake session or remain available during virtual appointments.
Right to Decline or Discontinue Services
The National Institute of Hypnotherapy reserves the right to decline or discontinue services when:
- The requested service falls outside the practitioner's scope of practice.
- Hypnotherapy is not considered appropriate for the presenting concern.
- Another healthcare provider is better suited to the client's needs.
- The therapeutic relationship is no longer productive.
- Threatening, abusive, or inappropriate behaviour occurs.
Where appropriate, referrals to other qualified professionals will be provided.
Emergencies
The National Institute of Hypnotherapy does not provide emergency or crisis services.
If you are experiencing a medical emergency, mental health crisis, or believe you are at immediate risk of harm, call 911 or attend your nearest emergency department.
Force Majeure
The National Institute of Hypnotherapy shall not be held responsible for delays, interruptions, or cancellations resulting from circumstances beyond its reasonable control, including severe weather, power outages, internet disruptions, equipment failure, public health emergencies, natural disasters, or government restrictions.
Every reasonable effort will be made to reschedule appointments as soon as practical.
Changes to These Terms
These Terms & Conditions may be updated periodically to reflect changes in legislation, professional standards, or business practices.
The most current version will always be available through the booking system and/or practice website.
Continued use of services constitutes acceptance of any updated Terms & Conditions.
Agreement
By booking an appointment, purchasing a program, or participating in services provided by the National Institute of Hypnotherapy, you acknowledge that you have read, understood, and agree to these Terms & Conditions.
